Head of the STI Faculty Affairs office
Mission
The Head of the School of Engineering (STI) Faculty Affairs Office at EPFL manages a small team dedicated to the processes regulating academic affairs within the School of Engineering at EPFL (such as academic recruitments, academic promotions, sabbatical and research leaves, invitations of visiting professors and academic guests, courtesy appointments) and provides executive support to the Dean of STI and the Chair of the Academic Evaluation Committee (CEA-STI).
She/he collaborates closely with the EPFL Faculty Affairs office and, as a member of the Dean's office, with the other general services of the faculty, as well as with the Institutes of the STI.
Main duties and responsibilities
- Coordinating academic recruitments at STI level, including overseeing entire recruitment process, drafting contract and coordinating onboarding process of new faculty members
- Coordinating STI processes for:
- academic promotions of internal and external candidate
- sabbatical and research leaves
- invitations of visiting professors and academic guests
- courtesy appointments between Institutes of STI and between faculties of EPFL
- Serving as point of contact for academic affairs for STI members
- Updating the STI regulations concerning academic affairs, based on the evolution of the EPFL legal frameworks and decisions internal to the STI, and follow up for implementation across the faculty
- Providing input when the EPFL legal frameworks are submitted to internal consultations
- Managing audits concerning academic affairs and prepare related documents
- Preparing the agenda and minutes of CEA-STI sessions
- Drafting the CEA-STI recommendation letters concerning academic promotions
- Preparing the nomination documents for the academic promotions, professorial recruitments and retirements, for the EPFL Presidency and the ETH Board.
Profile
- PhD degree in an engineering/scientific domain required
- Experience (5+ years) in academic environment or equivalent
- Knowledge of EPFL is an asset
- Fluency in French and English, both written and oral communication
- Excellent organizational and interpersonal skills
- At ease and experienced with common office computer and web tools (Excel, Powerpoint)
